Privacy Policy

FairwaySwap, operated by FairwaySwap LLC ("FairwaySwap," "we," "us"), is a free network that connects verified golf club members for reciprocal guest play. This policy explains what information we collect, how we use it, and the choices you have. FairwaySwap is intended for golfers 18 and older in the United States.
The short version
We collect the information you give us to set up your membership and connect you with other golfers, plus basic technical data needed to run the service. We do not sell your personal information, and we do not run third-party advertising. Your GHIN is visible to other verified members to support trust; your phone and email stay private unless you choose to show them.
Information we collect
- Account: your email address and a password (your password is handled by our authentication provider and is not visible to us).
- Profile: your name, GHIN number, home club and any other clubs you add, city and state, golfer personality, preferred times, handicap index, and optionally your phone number, a short bio, and a typical guest-fee range.
- Activity: play requests, messages you send to other members, reciprocal rounds you log and confirm, and notifications.
- Technical: standard log and device data (such as IP address) collected by our hosting and infrastructure providers, and delivery and open metadata collected by our email provider.
How we use it
We use your information to operate the network: to verify that you are a current club member, to show you in the member directory, to let members find and connect with each other, to send transactional emails (such as confirmations, approvals, play requests, and round confirmations), and to support trust, safety, and moderation.
What other members can see
Verified members can see your name, clubs, city and state, golfer details, reciprocity stats, and your GHIN. Your phone number and email address are private unless you turn them on in your settings. Messages you send are shared with the member you send them to.
Service providers
We rely on a small set of vendors that process data on our behalf to run the service. They are bound to use the data only to provide their service to us:
- Supabase — database, accounts, and authentication.
- Netlify — website hosting.
- Resend and Amazon SES — sending our email.
- ImprovMX — forwarding email sent to our address.
- Google / Gmail — our support and contact inbox.
What we do not do
We do not sell or rent your personal information. We do not show third-party ads or use your data for advertising. We do not knowingly collect information from anyone under 18. We avoid absolute promises: no online service can be guaranteed perfectly secure, and we describe our practices honestly rather than claiming your data is completely safe.
Retention and deletion
We keep your information while your account is active. You can delete your account and personal data at any time from your profile in the app, or by emailing hello@fairwayswap.golf. When you request deletion, we remove your profile and personal details from the live service. Some records tied to other members (such as messages you exchanged or rounds you both confirmed) and routine backups may persist for a limited period before they age out.
Security
We use database-level access controls so members can only see what they should, encryption in transit and at rest through our infrastructure providers, and a secret manager for sensitive keys. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information and to handle any incident responsibly.
Children
FairwaySwap is for adults 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18, including children under 13 as addressed by the Children's Online Privacy Protection Act. If we learn that we have collected such information, we will delete it.
Where this applies
FairwaySwap is intended for users in the United States. We do not target or market the service to people in the European Union or other regions, and the service is not designed for international privacy regimes at this time.
Changes
We may update this policy from time to time. The date at the top reflects the latest version, and continued use of the service after an update means you accept the revised policy.
